Everyone wants full automation of rosters, but few have access to the funds. We
are offering a full working copy of Lite to provide auto-layout of fixed
sessions, assisted manual layout of trainees and full lists of available and
unavailable staff. Users can try out Lite for themselves over six
weeks.initially with test data, then enter their own data.
(Lite costs AU$3,850 until the end of 2009).
To create a rota it is necessary to know who is available and who is not, who is
on-call or on a shift and what fixed sessions and other duties need to be
filled. RotaTrack Lite's diary provides lists of available and unavailable
|
staff. Then Lite allocates fixed sessions, filling gaps using available
qualified staff such as
‘free’ Consultants. User can click and allocate trainees as appropriate from a
drop-down menu. Lite prevents double booking.
Lite uses core elements of RotaTrack that users can set-up and run themselves.
This keeps the entry cost down. When more automation is required, we merely
charge the difference. (e.g. having bought Lite the second phase - Shifts and
OnCalls - is available for an extra
£5000 or so). Users can target 100% automation in stages and stop and start as it suits them.

We are ready to unveil a new low-cost rostering package aimed at addressing
complex shift requirements. This will take RotaTrack out of the hospital
environment into much broader areas.

• Generate pattern of nights according to numbers sharing rota.

Users maintain a computerised departmental diary & weekly templates. Rotas can then be flowed and trainees allocated. All this is
controlled by an engine taken from our high end fully automated RotaTrack.
Users can move on at any time to the next Shift/OnCall (or Resource Manager)
module. Possibly in a different budget year.
Go as far as you want - but in your own time. Resource Manager for rolling shift patterns & OnCalls is available for around AU$15k and full automation costs begin at around AU$30,000 and install in one or three phases.

Powerful Browser and e-mail facilities are being added to to the new SQL based RotaTrack to provide an interactive leave
request and authorisation facility. This will reduce the admin workload
drastically while speeding up response time through a comprehensive
departmental record structure. In use users will be able to request leave via
the intranet with a traffic light system gauging the chances of success.
(problems are also highlighted). The administrator will be able to log-on check
and assess leave requests in the same way or conventionally and e-mail a formal
response letter with a summary of an individuals current leave situation. We
can do much more with the Browser and e-mail link which also allows access to
much grater numbers at negligible cost.
The move to SQL is significant, it is the preferred option of many high-end developers and IT

Departments in all industries relying on data convergence to allow different
systems to exchange information on a 4D certified Windows Server 2008.
RotaTrack in Australia
Meanwhile, RotaTrack has been successfully utilised at a major Australian
Teaching Hospital to project the effects of increasing service provision with
and without increases in staffing levels in Anaesthetics (the largest specialty
department in any hospital). Areas analysed included service, teaching,
supervision
& hours worked. The results enabled a controlled migration to a new service
profile supported by the resource requirements identified by RotaTrack to
maintain the required teaching of trainees.
